Privacy Notice

We take data privacy and security very seriously and respect the confidentiality of personal data. When you share personal data with Anna Chapman Consulting Ltd, the information you provide is used solely to enable us to fulfil a contract or piece of work that you have commissioned us to deliver. 

This Privacy Notice explains:

·       What information we hold and why we collect it

·       How we use that information

·       How long we store that information

·       Your rights, including how to access and request that information is updated or removed.

 

Information that we hold and why we hold it

It is necessary for us to retain information about our clients for the purposes of contacting you about current projects/assignments you have commissioned us for, and to keep in touch with you in respect of future services we may offer you. The information we store may include your:

·       Name

·       Email address

·       Phone numbers

·       Skype address

·       Job title

·       Employer/organisation

·       Address of employer/organisation

 

In the majority of cases this information will have been provided by you, the client. We use this information to communicate with you for the purposes of designing or delivering a piece of work that you have commissioned, and to keep in touch with you should you require our services in the future.  

Where appropriate we also hold psychometric profiles. Psychometric profiling is used when the client has agreed that these are relevant and helpful to the development programme. 

We will retain your personal data for the duration of the programme you have commissioned or are attending, and sometimes for a period of time afterwards if you have indicated that follow-up work and contact is required.

 

Information that we share

We do not share personal information outside of Anna Chapman Consulting, with the following exception: 

·       Personal data required to set up psychometric profiling

We use third party specialist organisations to conduct our psychometric questionnaires and prepare psychometric profiles. It is necessary for us to pass on your name, email address and in some cases gender, to the third party in order for them to set up your psychometric questionnaire. We will only pass on this information with your consent. Consent will be sought via a profoma sent to the commissioning client. We will not share your personal data without your consent.

 

Third party suppliers

Our third party psychometric suppliers have been verified to ensure they comply with EU GDPR. They may hold data outside of the EEA and have taken measures to ensure their data security systems comply with EU legislation. If you should wish to see the Privacy Notice of the relevant third party supplier this can be sent to you on request. 

Accessing your personal information

You have the right to:

·       Be informed about the collection and use of your personal data

·       Access the personal data we hold about you and ask for a copy of it and an explanation of how it is used

·       Correct, revise or remove any of the data we hold about you

·       Have your personal data deleted

·       Request limited use of your data

·       Receive a copy of your data in an IT-friendly format

·       Object – to opt out of the use of your personal data for the purposes of analytics and marketing

Website

When you visit our website we do not collect any data from you unless you send us an enquiry via our website, in which case we will store your contact details and any other details you choose to include in the message. We do not use cookies to track or analyse visitors to our website. 


Data Security

We aim to maintain our paper-based and IT systems in a manner that protects information from accidental or malicious loss or destruction, unauthorised access, unauthorised alteration and unauthorised disclosure. We review our information collection, storage and processing practices, including physical security measures, to guard against unauthorised access to systems. 

We store data in an email system, laptop hard drive, cloud-based storage and lockable filing cabinet. Our PCs are protected by BitLocker encryption, biometric identification and password.  Laptops are stored in lockable filing cabinet when not in use.  USBs are used occasionally (but never for personal data) and are protected by BitLocker.  Electronic files that are no longer required are deleted from the laptop hard drive and cloud storage. Paper documents containing personal data are shredded.  We regularly review our data to ensure that data that is no longer required is deleted.
